Softwoods / Orders and freight

Web orders stopped being re-keyed. Freight stopped waiting on one person.

Staff entered every web order again in the operating system. One person carried the freight rules. Kaizen rebuilt the flow so the order and its rules travel together.

01 / Original job

The web order was only the start.

Customers placed an order online, then staff entered it again in Pronto. Freight still needed someone who knew the rules for product, destination, installer and order type.

The public site also carried slow pages and a large catalogue. A new storefront alone would not remove the operating work behind each order.

02 / Captured judgement

Freight and catalogue rules became part of the flow.

Kaizen recorded customer pricing, catalogue rules, freight conditions, order routing and the cases that must go to sales. The operating path could then be built around the real exceptions.

The selected systems followed those rules. Products that were evaluated but rejected do not appear as part of the delivered outcome.

03 / Running job

The order moves once.

Shopify now carries the storefront and customer catalogues. Accepted n8n workflows move the order into Pronto with its pricing and freight context. Klaviyo handles the agreed email and SMS paths.

Sales still handles named exceptions and makes commercial decisions. The routine work no longer waits for someone to enter the same order again.

Accepted operating shape

The order carries the rules with it.

The record below explains the public operating boundary. It is not Softwoods' confidential completion pack.

Systems in the job

The systems follow the order.

Shopify holds the storefront. n8n carries the accepted workflows into Pronto. Klaviyo runs the agreed customer messages. Sales takes the exceptions that still need a person.
